Job Description: Job Summary Want to play a key role in supporting the leaders shaping Southwest’s Digital and Marketing strategy? As a Senior Executive Assistant, you’ll deliver Legendary Customer Service while providing advanced executive support to members of the Senior Management Committee, including the Senior Vice President of Digital & Marketing and the Chief Marketing Officer. You’ll manage complex administrative functions and lead highly visible, Companywide initiatives requiring exceptional judgment and precision. As a trusted thought partner, you’ll help drive teamwork, culture, and inclusion across the Executive’s leadership team, set the tone for the office, represent the Executive in meetings, and communicate on their behalf. Responsibilities • Develop advance understanding of Executive’s business priorities, department strategy and organizational structure to provide seamless support • Proactively identify problems, evaluate alternatives, recommend solutions and determine when Executive action is required • Manage daily administrative operations including strategic calendar planning, travel, meeting and department logistics, etc. • Manage Executive’s inbox including read, sort, route, prioritize, write and distribute incoming mail or other materials • Provide Executive with pertinent materials and preparation for meetings, perform related research and analysis, as directed • Prepare and distribute communications on behalf of the Executive, ranging from Employee communications, messages, reports and presentations, and external business, as required, ensuring consistency of the Executive’s voice across memos, presentations, social media, and department content; write, proofread, and edit as needed • Independently lead, plan, and execute critical internal and external meetings and events for the Executive and Department, ranging from confidential strategy sessions to high-profile engagements. Oversee all logistical arrangements, coordinate every detail, develop comprehensive itineraries, and prepare thorough agendas to ensure seamless execution • Own departmental operations including finances, budget preparation, expense reports, policy and procedures and personnel issues • Own projects, create presentations, and manage deadlines for Executive and Team • Proactively leads by example, provides guidance and mentorship to members of the administrative community • May perform other job duties as directed by Employee’s Leaders Knowledge, Skills, and Abilities • Knowledge of administrative and business operations procedures and systems such as word processing, recordkeeping, and other business management and office procedures and terminology • Knowledge of technology platforms and ability to do troubleshooting for Executive • Knowledge of principles and processes for providing Customer and personal services, including Customer needs assessment, meeting quality standards for services, and evaluation of Customer Satisfaction • Knowledge of media production, communication, and dissemination techniques and methods, including alternative ways to inform via written, oral, and visual media • Skilled in project management, time-management and priority-setting skills and ability to multi-task and pivot tasks unexpectedly • Skilled in making judgment calls, problem solving skills and decision-making ability • Skilled in verbal and written communication skills, communicating effectively as appropriate for the needs of the audience with knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar • Skilled in arenaflex Office Suite, including Teams • Skilled in organizational techniques, with ability to prioritize, manage and balance multiple priorities and competing requests in a high volume, fast-paced environment • Ability to partner and build relationships across the enterprise, companywide • Ability to work independently in a team environment and be resourceful with little or no supervision • Ability to maintain confidentiality Education • Required: High School Diploma or GED Experience • Advanced level experience, seasoned and specialized knowledge in: • Administrative Support • Customer Service • Project Lead related fields • Preferred: Current or previous experience as an Executive Assistant • Preferred: Experience with managing budgets and/or expense reporting • Preferred: Experience planning and running large scale meetings • Preferred: Experience managing email inbox on behalf of Sr Leaders Licensing/Certification • N/A Physical Abilities • Ability to perform work duties from limited space work station/desk/office area for extended periods of time • Ability to communicate and interact with others in the English language to meet the demands of the job • Ability to use a computer and other office productivity tools with sufficient speed and accuracy to meet the demands of the job • Ability to lift and/or pull medium weight loads (approx. 25-50 lbs) on occasion Other Qualifications • Must maintain a well-groomed appearance per Company appearance standards as described in established guidelines • Must be a U.S. citizen or have authorization to work in the United States as defined by the Immigration Reform Act of 1986 • Must be at least 18 years of age • Must be able to comply with Company attendance standards as described in established guidelines • Ability to work in an on-call environment and have a flexible work schedule to support the needs of the business as necessary • Ability to travel with some overnight stays required Pay & Benefits: Competitive market salary from $89,450 per year to $99,400 per year* depending on qualifications and experience.
