About the role

The Commercial Operations Sr. Associate is the operational backbone of the commercial team, owning the coordination systems, processes, and rhythms that keep a fast-growing team of 50+ running at scale. This role is essential in helping the team nail the details, both big and small. You will partner closely with stakeholders to coordinate timelines, manage dependencies, and navigate scheduling across multiple dynamic calendars. This role experiences higher intensity during Q1 and Q4, our peak conference and commercial planning seasons.

 

About the job

  • Own conference and industry event preparedness from scheduling meetings to completing briefing documentation 
  • Lead end-to-end planning for team onsites and industry events, including venue coordination, logistics, and pre-event communication
  • Coordinate onboarding schedules for new commercial team hires 
  • Manage and optimize calendars for commercial leaders and team cadences (pipeline reviews, monthly and quarterly business reviews, leadership calls).
  • Own logistics for commercial leaders including travel arrangements, booking meeting rooms, and team events
  • Use AI to capture weekly sales pipeline meeting notes, identify action items, and track follow-ups 
  • Triage day to day questions and needs from the team 
  • Maintain and organize team Google Drive ensuring folders, links, and files are easy to navigate and up to date
  • Oversee an outsourced processing team managing a high volume of transactions monthly, ensuring the team follows established processes and maintains pace.
  • Manage our Executive Sponsor program, ensuring meetings are scheduled, tracked, and followed up on 

About You

  • You love being the person who makes sure nothing falls through the cracks.
  • You’re energized by keeping others organized and turning chaos into structure.
  • You notice inconsistencies in links, dates, and documentation and proactively fix or flag them.
  • You operate with minimal direction and know when to act vs. when to escalate.
  • You don't just follow processes — you make them repeatable and document them for others.
  • You're comfortable using AI tools in your daily work and can point to real examples of how they've made you more productive.
  • You have 4-6 years of experience in operations, project coordination, or a similar role
  • You have a strong proficiency with standard business tools: calendar, email, docs, spreadsheets, and presentations
  • Experience in SaaS, CPG, or retail industries preferred not required
  • No task is too small or too in the weeds.
