About the position The Payment Coordinator plays a critical role in supporting and operationalizing a centralized Payments Center of Excellence (COE) for Private Wealth, with a focus on Ultra-High-Net-Worth (UHNW) Bill Pay and Tax Payments. This role is responsible for executing complex payment activities, partnering with internal stakeholders to ensure accuracy, timeliness, and compliance, and helping design scalable, well-controlled payment processes as the firm transitions toward more centralized and electronic payment solutions. As Private Wealth evolves toward more centralized, scalable, and electronic payment solutions, the Payment Coordinator will be instrumental in ensuring continuity, control, and client confidence. This role balances hands-on execution with future-state design, helping build a Payments Center of Excellence that supports UHNW client needs while strengthening risk management and operational efficiency. Responsibilities • UHNW Bill Pay & Tax Payment Execution • Coordinate and process UHNW client bill pay and tax payment requests in accordance with internal policies and regulatory requirements. • Serve as the primary point of execution for complex and time-sensitive payments, including estimated tax payments and exception-based requests. • Prepare, review, and issue payments (e.g., wires or ACH), ensuring proper documentation and approvals are in place. • Maintain detailed records of all payments, confirmations, and proof of payment in internal systems. • Payments Center of Excellence (COE) Development • Support the design and implementation of a centralized Payments COE for Private Wealth. • Help establish standardized payment workflows, controls, and documentation requirements across Bill Pay and Tax Payments. • Partner with internal teams to pilot new payment approaches for high-volume UHNW relationships. • Contribute to defining service models, escalation paths, and quality standards for payment activity. • Tax Payment Coordination & Compliance • Coordinate closely with Wealth Advisors, Relationship Managers, Portfolio Managers, and Tax partners to ensure accurate execution of tax payments. • Track cash needs and deadlines for estimated tax payments and communicate proactively with internal partners. • Ensure payments comply with IRS and other taxing authority requirements, including entity-specific payment rules and documentation standards. • Support transition planning related to increased electronic tax payment requirements. • Risk Management & Controls • Ensure payment activity adheres to internal controls, audit requirements, and custody rules. • Participate in internal reviews, audits, and process assessments related to payment activity. • Identify risks, gaps, or inefficiencies in existing payment processes and propose mitigation strategies. • Stakeholder Communication & Service • Act as a trusted operational partner to Client Service, Wealth Advisory, Tax, and Operations teams. • Communicate clearly and proactively regarding payment status, deadlines, and exceptions. • Deliver a high-touch service experience appropriate for UHNW clients and complex relationships. Requirements • Bachelor’s degree in Finance, Accounting, Business, or related field (or equivalent experience). • 2+ years of experience in financial services operations, trust administration, bill pay, or payments processing. • Strong attention to detail and comfort handling high-risk, time-sensitive transactions. • Ability to interpret and follow complex procedures and regulatory requirements. Nice-to-haves • Experience supporting UHNW clients or fiduciary/trust environments. • Familiarity with tax payment workflows or coordination with tax professionals. • Experience participating in operational transformation or centralization efforts. • Professional certification (e.g., CTFA) or willingness to pursue. • Full understanding of client privacy and confidentiality. • Strong organizational and communication skills.
