Title:Office Manager- Chemistry Location: Urbana United States/ Champaign Hybrid 1035110 Job Description: Office Manager- Chemistry College of Liberal Arts & Sciences University of Illinois at Urbana-Champaign Job Summary Provides administrative support to the teaching faculty, staff, and students in General Chemistry's large instructional program. Duties & Responsibilities Course Support Assists with student correspondence for large enrollment courses, escalating complex situations to lab director when appropriate. Maintains the learning management system (LMS) by reviewing excused absence requests, assignment extensions, providing provisional data for incomplete lab assignments, applying DRES accommodations to assignments, answering questions about course policies. Assists with grade related tasks including applying grade assignments within the LMS and posting grades to transfer to Atlas gradebook. Maintains lab cleanliness records for appropriate grading, and communicates when additional cleanup is needed. Issues lab attendance passes to students and maintains a database of student lab access Reviews, processes, and maintains iCard data to identify late arrivals and absences and establish detailed student attendance records. Office Support Secures space reservations for faculty, TAs and instructional events, utilizing Facilities Management Systems (FMS) and internal scheduling tools to optimize usage of departmental resources. Assists with exam printing and distribution requests Initiates purchases using P-card, T-card, and internal ordering systems. Greets visitors and reviews incoming inquiries from all mediums Other duties as assigned to further the mission of the unit Required Qualifications High school diploma or equivalent. Two (2) years (24 months) of work experience comparable to the third level of this series. Preferred Qualifications Ability to exercise initiative, confidentiality, discretion and sound judgment. Effective time management and organizational skills Attention to detail Ability to establish and maintain professional and cooperative relationships with faculty, staff and students Ability to communicate effectively and professionally, build rapport and establish effective working relationships with students, faculty, staff, and visitors. Commitment to creating an inclusive environment Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology. Knowledge of principles and processes for providing customer services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction Knowledge of computers and computer systems (including hardware and software) to enter data, or process information. Ability and initiative to pursue relevant training Appointment Information This is a 100% full-time Civil Service 3266 - Office Manager position, appointed on a 12-month basis. The expected start date is as soon as possible after the deadline date. This is a bargained position and as such, the salary is driven by the collective bargaining agreement. The wage for this position is $46,975.50. Sponsorship for work authorization is not available for this position. Hybrid work options may be available for this position after an initial on-site training period, with the ability to be on-site at the University of Illinois UrbanaChampaign campus as needed per the University's Workplace Flexibility policy. During the semester, when labs are in session, work hours are 7:30 am- 4pm. Additional details will be provided during candidate interviews.
