📢 Why Are We Hiring an HR Assistant?

Our team is hiring an HR Assistant to support the HR Director by taking ownership of day-to-day people operations and administrative HR workflows. This role exists to reduce manual oversight, maintain clean and reliable HR data, and execute recurring HR workflows with precision and consistency. You’ll be the go-to person for onboarding, offboarding, benefits coordination, HR tracking, and routine HR communications—making a real impact on how smoothly the organization runs.

Responsibilities of the HR Assistant:

Your responsibilities include:

  • 👋 Onboarding & Offboarding
    • Send orientation calendar invites and coordinate onboarding timelines
    • Create and manage individual team member folders in Google Drive
    • Upload, organize, and track all onboarding documentation
    • Follow up on missing or pending onboarding requirements
    • Assign VPN licenses and coordinate system access
    • Schedule offboarding calls and ensure all exit steps are completed
    • Remove system and VPN access for separated team members

  • 📊 HR Systems, Tools & Data Management
    • Maintain HR trackers, dashboards, and internal spreadsheets
    • Ensure data accuracy across HR systems, PTO tracking, benefits, and reports
    • Verify updates are completed correctly and in the proper sequence
    • Identify inefficiencies and assist with process improvements or automation

  • 🏥 Benefits & Insurance Administration
    • Monitor benefits eligibility after probationary periods
    • Send enrollment forms to eligible team members
    • Submit completed forms to the insurance provider
    • Validate Statements of Account for accuracy

  • 💬 Employee & Client Communication
    • Act as an HR point of contact for team members, clients, and internal teams
    • Respond to routine HR inquiries and escalate when needed
    • Assist with pay increase requests by organizing and tracking documentation

  • ⏱ PTO, Timekeeping & Reporting
    • Maintain client-specific PTO policy records
    • Track and update PTO usage in monitoring sheets
    • Generate Hubstaff and Teramind reports
    • Prepare weekly internal updates (new hires, birthdays, anniversaries)
    • Coordinate with Client Success on missing or incorrect time entries

  • 💻 Company Property Monitoring
    • Facilitate client requests for company-issued equipment
    • Source suppliers and submit options for approval
    • Prepare and send Company Property Agreements
    • Maintain accurate company property tracking summaries
