Role Overview We are seeking a proactive and highly organized Executive Assistant to the CEO with aspirations to grow into a Chief of Staff role. This position goes beyond traditional administrative duties; it involves strategic planning, project management, leveraging AI for productivity, and cross-functional collaboration. You will work closely with our CEO to manage and scale our rapidly growing companies, playing a crucial role in driving strategic initiatives and optimizing operations. The ideal candidate must have experience with high-growth SaaS companies, specifically in scaling businesses through stages from 0 to 1, 1 to 10, and 10 to 100, and a strong aptitude for leveraging AI to significantly enhance productivity. Key Responsibilities Strategic Support • Project Coordination: Assist the CEO in planning and executing key strategic projects, coordinating with internal and external parties ensuring alignment with company objectives and timely delivery. • Scaling Expertise: Apply your experience in scaling SaaS companies through critical growth stages (0 to 1, 1 to 10, 10 to 100) to support business expansion and operational optimization. • AI Integration: Leverage AI tools and technologies to enhance productivity and efficiency, aiming to 5x output in various processes. • Research and Analysis: Conduct research on industry trends, market opportunities, and competitive landscape to support strategic decision-making. Operational Efficiency • Process Improvement: Identify and implement systems and processes that enhance operational efficiency and scalability across the organization. • Metrics Tracking: Help establish and monitor key performance indicators (KPIs) to track the success of various initiatives. • Technology Utilization: Stay at the forefront of AI advancements to continuously improve workflows and reduce manual tasks. Administrative Excellence • Calendar Management: Help manage the CEO’s schedule, prioritizing internal meeting, and outreach for external meetings, and ensuring attendees’ readiness to align with strategic goals. • Communication Liaison: Serve as the primary point of contact between the CEO and internal/external stakeholders, ensuring clear and timely communication. • Document Preparation: Use AI to prepare, review, and edit correspondence, presentations, and reports for accuracy and completeness.
