GreEnergy Resources, LLC is seeking a proactive and detail-oriented team member to support leadership while overseeing safety compliance and credentialing processes. This role plays a critical part in maintaining regulatory compliance, managing documentation, and supporting operational readiness across projects. The ideal candidate is organized, dependable, and capable of managing multiple priorities with accuracy and professionalism.

Key Responsibilities:

  • Provide administrative support to staff and leadership, including document preparation, proofreading, and distribution
  • Provide backup support for Accounts Payable (AP), Accounts Receivable (AR), and Prevailing Wage (PW) processes
  • Maintain safety compliance programs, including OSHA logs, incident reporting, safety training records, Avetta, and ISNetWorld documentation
  • Track licenses, certifications, contractor registrations, and ensure timely renewals and compliant documentation
  • Coordinate new-site badging, onboarding requirements, and employee credentialing for client locations
  • Complete new vendor setup by collecting required documentation and maintaining accurate system records
  • Monitor and update vendor Certificates of Insurance (COIs) to support risk management and contract compliance
  • Prepare and distribute weekly meeting notes and safety reports
  • Maintain company tool inventory, ensuring accurate tracking and documentation
  • Schedule and track calibration for torque wrenches, clamp meters, and other specialized tools to ensure accuracy and compliance
  • Maintain accurate databases and compliance records while handling confidential information with discretion
  • Handle confidential information with discretion and ensure compliance with company policies

Requirements:


Required Qualifications:

  • High school diploma or equivalent; associate’s or bachelor’s degree preferred
  • Proven experience as an administrative assistant, office assistant, or in a relevant role
  • Proficiency in Google Workspace / Microsoft Office Suite
  • Exceptional organizational, time management, and multitasking skills
  • Strong verbal and written communication skills
  • Ability to handle complex tasks independently with minimal supervision
  • Attention to detail and ability to manage large amounts of information
