We are seeking a dynamic and detail-oriented Executive Assistant to provide comprehensive administrative support to our top-level executive team in the Finance industry. This is a permanent, full-time position with a competitive benefits package. The successful candidate will be responsible for managing a variety of tasks and projects in a fast-paced, high-stakes environment. This role is integral to the smooth operation of our executive team and will be a key contributor to our overall success.

Responsibilities:

• Provide high-level administrative support to top-level executives, acting as the primary point of contact for internal and external constituencies.
• Coordinate meetings, manage complex calendars, and handle travel arrangements, ensuring all details are accurately managed and communicated.
• Attend meetings, take comprehensive notes, and execute necessary follow-ups.
• Utilize exceptional organizational and project management skills to manage multiple tasks, deadlines, and projects simultaneously.
• Leverage strong problem-solving skills to anticipate needs, identify potential issues, and develop solutions.
• Maintain utmost confidentiality in dealing with sensitive information.
• Conduct extensive research and prepare detailed reports as required.
• Utilize Microsoft Office Suite to create presentations, documents, and spreadsheets.
• Perform a variety of office management tasks, including ordering supplies, managing vendors, and maintaining an organized and efficient workspace.


Qualifications:

• A minimum of 3 years of experience in an administrative assistant role, preferably in the finance industry.
• Proven experience with administrative support, meeting coordination, calendar management, travel arrangements, note-taking, and follow-ups.
• Exceptional organizational skills with the ability to manage multiple tasks and projects simultaneously.
• Strong problem-solving skills with a proactive approach to identifying and resolving issues.
• Excellent time management skills with a demonstrated ability to meet deadlines.
• Superior communication skills, both written and verbal.
• Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
• Demonstrated ability to handle sensitive information with the highest degree of integrity and confidentiality.
• Strong research skills and the ability to prepare detailed reports.
• A proactive, self-starter attitude with the ability to work independently and as part of a team.
