About the position The Events Specialist prepares, delivers, promotes, and evaluates library programs, online events, and special events for targeted audiences. In this role, you'll support both virtual and in person events across the district and work closely with the Events team, presenters, library staff, and community partners to help programs run smoothly and create welcoming experiences for patrons. This is a hybrid position, with work performed remotely and onsite at library locations and community venues as needed. Responsibilities • Delivers live virtual events while adhering to best practices to provide a consistent, high-quality experience. • Serves as host during virtual events to welcome participants and support engagement. • Works with the Events team and presenters to recommend appropriate platforms and features for different event formats. • Schedules and executes rehearsals to prepare presenters and ensure technical readiness. • Manages presenter communication, conducts testing, and provides quality control before and during events. • Offers assistance to attendees and presenters with connection issues and basic technical support. • Processes recordings, manages surveys, and tracks attendance following events. • Creates and prepares support content including videos, slides, curated resources, newsletters, and supply kits. • Delivers events at library locations and other venues while adhering to customer service standards. • Greets patrons and introduces presenters during in-person events. • Hosts and presents programs, engaging audiences to support learning and enjoyment. • Manages event spaces, including room setup, safety considerations, audiovisual needs, and cleanup. • Administers surveys and evaluates events to inform adjustments to content and logistics. • Tracks attendance and supports large scale special events. • Communicates with presenters regarding logistics and equipment needs. • Purchases supplies and reserves equipment as needed. • Collaborates with library staff and departments to support organization wide programming efforts. • Works with staff at libraries to foster relationships and adhere to branch specific details. • Generates interest in library materials, services, and resources through strategic integration before, during, and after events. • Builds relationships with patrons by tailoring recommendations to their interests and needs. • Serves as an ambassador for Arapahoe Libraries at community outreach events. • Distributes promotional materials within libraries and at community locations and events. Requirements • Event Delivery and Support: Experience assisting with the preparation, facilitation, and evaluation of programs or events. • Public Engagement: Comfort interacting with patrons and presenters in both in person and virtual settings. • Technology Skills: Ability to use virtual event platforms and troubleshoot basic technical issues. • Organization and Follow Through: Ability to manage details, prioritize tasks, and complete projects on time. • Equity Focused Perspective: Commitment to inclusive, welcoming experiences for diverse audiences. • Alignment to ALD Values: Demonstrates collaboration, equity, and innovation in daily work. • Bachelor's degree. • Six months to two years of relevant experience in planning and delivering events. • Ability to work collaboratively within a team environment. • Exceptional attention to detail. • Intermediate Microsoft 365 skills and ability to learn new technologies. • Valid Colorado driver's license with a clean driving record. • Ability to effectively present information to diverse audiences. • Ability to engage virtual audiences and troubleshoot technical issues calmly. • Ability to adjust program content to meet participant needs. • Ability to work independently in a remote hybrid setting. • Ability to travel between multiple facilities and have a flexible work schedule. • Ability to work evenings and weekends as needed. • Ability to drive a light duty delivery van with automatic transmission.
