GENERAL DUTIES
Under supervision, performs miscellaneous clerical, administrative, research or other work related to the operation of a College or other unit where such work is required on a part-time basis or for a period of limited duration. There is one Assignment Level for this position. All personnel perform related work. This specification describes typical assignments; related duties may be assigned as needed. Maximum tenure for any employee in this hourly position is 1040 hours per year. Performs routine clerical work; may answer and attend to telephone calls; maintain records, operate office machines (such as copier), sort and distribute mail, issue keys and identity cards, act as messenger, and perform related tasks as required. Types letters, memoranda, charts, and similar materials. Acts as cashier. Assists in statistical or research activities. May collect and compile data, code data for computer entry, perform data entry, and run computer reports. Performs clerical library work, such as sorting and shelving books, performing data entry into library systems, or binding books and periodicals. Assists in instructional programs, including tutoring and assisting students in areas such as reading and mathematics. May assist in speech and hearing therapy, provide musical accompaniment, and/or distribute and collect physical education equipment. Enters and maintains departmental records such as inventory control records, rosters, directories, and schedules. May operate computers, computer software, and other electronic equipment in performing assigned tasks.

The Graduate Center (GC) benefits from highly ambitious and diverse students and alumni-who in turn teach hundreds of thousands of undergraduates every year. Through its public programs, the Graduate Center enhances New York City's intellectual and cultural life. The M.A. Program in Liberal Studies is seeking a College Assistant, who will assist with the daily operations of the office. Under the direction of the Assistant Program Officer, Executive Officer, and Deputy Executive Officer you will help support administration, faculty, and students through various internal, departmental tasks and initiatives. This role is for 20 hours per week over 3 or 4 days, Monday-Friday, between 9AM-5PM, in the office at least 2-3 days per week. Duties include but are not limited to: Respond to and route incoming email inquiries to appropriate faculty, staff, and administrative offices. Assist with maintaining student and alumni recordsusing the CUNYFirst system Update and maintain the Liberal Studies program website to ensure information is accurate and current. Compile and curate program announcements, events, workshops, and opportunities for a weekly newsletter distributed to students, alumni, and faculty. Design promotional materials for departmental events and announcements using Canva, including digital flyers and social media graphics. Create informational resources that support advising and help students navigate program requirements. Handle office operations, including monitoring inventory and ordering office supplies as needed. Post, update, and remove program announcements on departmental bulletin boards and common areas. Coordinate and update faculty mailboxes and internal correspondence distribution. Assist with the end-of-semester course evaluation process, ensuring timely distribution and completion. Coordinate facility requests for program events, meetings, and classroom needs. Provide administrative support to the Assistant Program Officer, Executive Officer, and Deputy Executive Officer as needed. Collect, organize, and maintain alumni information for program records and outreach initiatives. Create and support the program's social media presence across Instagram, Facebook, BlueSky, and Linktree. This is a hybrid role, and the incumbent will work on site and remotely. All full-time and part-time CUNY staff are expected to work in-person at their campus office 80% of their work time. This hybrid work schedule is subject to change. Selected applicant must pay fingerprint and filing fees (full-time CUNY students are excluded from the fingerprint fee). All prospective candidates must be able to be certified as eligible to work under the provisions of the Immigration Reform and Control Act. The Graduate School and University Center verifies education and experience statements.
MINIMUM QUALIFICATIONS
Must demonstrate sufficient skills to perform the duties of the assigned tasks.
OTHER QUALIFICATIONS
Preferred Qualifications:
One year of office/administrative experience; work experience in an academic or non-profit environment preferred. Proficient in Excel, Outlook, Google Suite, Canva, Drupal or other content management systems. Experience with CUNYFirst a plus. Self-starter with flexibility to perform a variety of tasks. Ability to exercise discretion in handling sensitive and/or confidential matters on behalf of the Program. Good communication and interpersonal skills. Must be highly organized and able to track multiple tasks at a time.
COMPENSATION
$21.66 per hour
