Office Assistant I - (Newport News)

Functional Expertise:

  • Plans and coordinates logistics for meetings and special events, (e.g., conference rooms, refreshments, participant invitations).

  • Supports other administrative assistants with duties as needed. Includes covering the front desk and assembling manuals.

  • Coordinates office administrative functions including maintaining office supplies, record management, and database updates.

  • Provides administrative support for multiple departments as required.

  • Coordinates special projects or assignments unique to the Operations department including weekly and monthly reports.

  • Coordinates purchasing activities; reviews and reconciles purchasing card expenses; enters into Oracle for payment processing.

Business Acumen:

  • Provides administrative support to the Operations team; prepares, reviews, and updates correspondence including letters, reports, and presentations; reviews and screens email.

  • Develops standard and ad-hoc reports; analyzes and summarizes data for management use.

  • Serves as administrative resource for internal employees; provides information and interpretation of Company documents.

  • Processes confidential information; maintains confidentiality.

Engagement:

  • Serves as liaison for addressing internal inquiries, researches, resolves, and responds to inquiries with minimal guidance.

Driving Results:

  • Regularly monitors all common areas to ensure that they are equipped with the necessary supplies

  • Provides supplemental support as needed during peak periods of operational activity

Qualifications:

Education, Certifications/Licenses:

Required:

• High school diploma or GED

Preferred:

• Associates degree in Business or Office Administration

Related Work Experience:

Required:

• 1-3 years experience in an office support role

Preferred:

• 3-5 years experience in an office support role

Applicant may possess a combination of equivalent education and work experience.

• Demonstrated ability to handle information in a sensitive and confidential manner

• Demonstrated ability to work with all levels in the organization
