About the position

We are seeking a talented and highly motivated Administrative Assistant who will be aligned to three of our global Product & Engineering teams and capable of providing strategic and operational support to multiple corporate executives at the VP level and above. New York City hybrid location is required.

Responsibilities

  • Manage multiple projects simultaneously and ensure success by communicating deadlines.
  • Provide strategic, administrative, and operational support to three corporate executives at VP and above.
  • Establish high-level contacts of a sensitive nature inside and outside the company and maintain those relationships.
  • Assist tracking the budget for meetings, including following approval processes, room block management, activities, travel and logistics, catering, etc.
  • Proactively prioritize executive's time and commitments.
  • Manage heavy calendar (via Outlook) and meeting management responsibilities, including worldwide travel planning and scheduling.
  • Proactively address all aspects of travel such as security and threat levels, currency, weather, and destination culture advice to executives.
  • Manage complex annual review and mid-year promotions cycles, including schedule review sessions and communicated deadlines.
  • Engage with other senior leaders of the organization, including C-level and external executives.

Requirements

  • Possesses professional expertise and applies company policies and procedures to resolve a variety of issues.
  • Change management driver who can look for opportunities and provide feedback on existing processes and procedures.
  • Exercises judgment within defined procedures and practices to determine appropriate action.
  • Influences within the team and builds relationships outside of the immediate area to accomplish objectives.
  • Assist with project management requiring finesse, flexibility, and patience.
  • Ability to handle sensitive matters and exercise sound judgment, discretion, and confidentiality.
  • Executive interfacing skills, particularly in written and verbal communication.
  • Booking and management of heavy domestic and international travel arrangements.
  • Previous experience with Outlook, Zoom, Google Drive Suite, and Slack.

Nice-to-haves

  • Previous experience with Workday, Expensify, Confluence, Navan, and Coupa.
  • Prior experience providing support to senior level management or equivalent.
  • Experience in a high-tech, startup, or a company experiencing rapid growth.
  • Previous experience with Product or engineering team.
  • Cybersecurity industry knowledge.
