Role Title: Store Administration Assistant
Reports To: Store Manager
Working Hours: 20–40 hours per week, with flexible shift options

Additional Duties

  • Update and maintain content on the Wing Yip internal intranet (WIP).
  • Place supplier orders when requested.
  • Support the production and installation of point-of-sale (POS) materials.
  • Organise quotes for store projects or maintenance work and follow up as needed.
  • Manage the creation, updating, and presentation of all in-store posters.

Compliance

  • Help Assistant Store Managers complete required due-diligence paperwork.
  • Alert the Store Manager to any missed or overdue compliance checks.
  • Carry out internal audits as required by the Business Support Team.

Personnel Support

  • Assist management with AWOL processes and documentation.
  • Provide note-taking support during formal meetings such as disciplinary and grievance hearings.
  • Conduct exit interviews with departing staff together with management.

Recruitment & Onboarding

  • Partner with Store Management to promote job openings both internally and externally.
  • Screen and review CVs from online applications and local candidates, providing recommendations to Store and Assistant Managers.
  • Contact applicants to evaluate their fit for available positions.
  • Organise interview timetables and support the delivery of assessment centres.
  • Assist in facilitating candidate assessment activities.
  • Manage new starter inductions and onboarding processes.
  • Complete right-to-work checks and verify identification documents.
  • Maintain communication with applicants throughout the hiring journey.
  • Prepare and issue employment contracts for successful candidates.
