Accounts Payable (AP) Staff

Work Location: Baybay City, Leyte

  • Baybay City: Willing to relocate within Baybay, Leyte

Work Setup: Onsite
Work Schedule: Monday to Friday | Mid Shift: 5:00 PM – 2:00 AM

Job Summary

The Accounts Payable (AP) Staff provides financial, administrative, and clerical support by ensuring accurate and timely processing of invoices and payments. This role is responsible for verifying, reconciling, and auditing invoices, maintaining AP records, and supporting reporting requirements to help control expenses and ensure smooth financial operations.

Key Responsibilities

  • Process, verify, and reconcile supplier invoices and check requests
  • Enter and upload invoices into accounting systems, including QuickBooks
  • Set up payment schedules, track anticipated payments, and coordinate with suppliers
  • Review and audit invoices for accuracy of costs, terms, discounts, shipping details, and fees
  • Investigate and resolve discrepancies between supplier invoices and internal records
  • Document and escalate invoice-related issues when necessary
  • Maintain and update AP trackers and internal systems
  • Prepare weekly sales reports, aged inventory reports, and other AP reports (weekly/monthly)
  • Perform invoice and purchase order audits, including:
  • – MFN Invoice Audit– Bulk/Prebook Order Confirmation Audit– Bulk/Prebook Invoice Audit– Spot-checking PO Audits
  • Upload purchase orders in Extensiv

Qualifications

  • Bachelor’s degree in Business Studies, Management, Finance, or Accounting
  • – Undergraduate applicants must have completed at least
  • 2 years of college
  • and possess
  • 2 years of continuous work experience with one company
  • Knowledgeable in QuickBooks and other accounting software
  • Strong attention to detail, organization, and accuracy
  • Proficient in data entry and information analysis
  • Good numerical and general math skills
  • Strong written and verbal communication skills
